User permissions

Creating Users

Here you can learn how to create a new user.   

General permissions

You can assign a range of permissions to users. The individual permissions can be combined in any way possible, with no restrictions.

Administration

If you would like to configure a user as an Administrator, turn on all permissions.

User Management

This permission enables users to  set up and edit new Users. The following menu is activated in the e-guma Voucher System: Settings -> Users.

Customers

This permission enables users to  manage and export Customer Data. When this permission is active, the Customers menu appears in the e-guma Voucher System.

Chance location

This permission allows the user to change the assigned location. Switching between the locations set up can be done in the e-guma Voucher App as well as in the e-guma Backoffice.

The new location remains stored with the user until a new change is made. This function also requires two or more locations to be set up in your e-guma Backoffice.

Permissions in the Voucher System

You can assign a range of permissions to users of the Voucher System. The individual permissions can be combined in any way possible, with no restrictions.

Voucher Management

This permission gives the user access to voucher management. The following menu will be activated in the e-guma Voucher System: Vouchers -> Manage.

You can also turn on the following permissions via Voucher Management:

Manually activating invoiced vouchers

This grants the user permission to activate vouchers that are still unpaid and that have been ordered with the "Invoice" payment type via voucher management. By clicking on the Activate button, you can enter the currency value and click on OK. The status now changes from unpaid to redeemable and the voucher now appears in green under the Voucher Management tool.

This permission is required in the following circumstances:

  • IBAN transfers
  • The voucher order could not be activated with the automated ESR process (e.g., if the customer transferred the invoice amount to the wrong account).
  • The voucher needs to be redeemed, even though it has not yet been paid for.
Edit vouchers

This permission enables users to amend the payment method or expiry date of a voucher and to convert vouchers for services into vouchers with a financial value.

Delete vouchers

This permission enables users to delete a voucher order or an individual voucher.

Redeem vouchers

This permission enables users to redeem vouchers. The following menu will be activated in the Back Office of the e-guma Voucher System: Vouchers -> Redeem.

Sell vouchers

This permission enables users to sell vouchers. The following menu will be activated in the Back Office of the e-guma Voucher System: Vouchers -> Sell.

You can also turn on the following permissions via Voucher Management:

Issue complimentary vouchers "Maison"

This permission enables users to issue a voucher with the Maison payment method.

Issue invoice and voucher at the same time

If your system is configured so that that vouchers sold locally are only delivered once the invoice has been paid, users can issue vouchers at the same time as the invoice is issued.

Stock Vouchers

This permission enables users to manage and activate stock vouchers. When this permission is activated, the Stock menu appears in the e-guma Voucher System.

Accounting

This permission gives users access to the entire Accounting menu in the e-guma Voucher System.

Marketing

This permission gives users access to the entire Marketing menu in the e-guma Voucher System. This means that they have permission to create both Promo Codes and Special Offers. If this permission is not activated, users can only access Marketing Graphics.

In addition, this permission gives users access to the voucher shop settings and the Basic Settings of the voucher and/or ticket shop. The following menu is activated in the e-guma Voucher System: Settings -> Online shop.

Statistics

This permission gives users access to the entire Statistics in the e-guma Voucher System 

Permissions in the ticketing system

A user in the ticketing system can be given three different permission profiles.

Full access Ticketing System

If you assign Full access Ticketing System to a user, this user can access all features of the ticketing system. 

External sales location

Would you like your partners to be able to issue tickets for your events by using the e-guma Ticketing System?  Create a new user and assign this user the External sales location permission. This gives your partner the ability to issue tickets as well as to manage tickets that they have issued via order management and the sales report, but no access to any other area. Check-in

The Check-in profile gives you two options:

You can provide the user with access to the  Check-in menu only (which includes the Dashboard). Quick links on the left-hand side are not visible due to the user's restricted permissions.

Alternatively, you have the option of combining the Check-in permission with the External sales location permission, so that your partner can not only issue tickets, but can also perform Check-ins.

For check-in users, you can restrict access to client data in participant lists. In this case, no address and contact data is displayed in the participant list. Contact us so that we can activate this setting for you.
