An overview of the QR-bill
This article explains how the QR invoice payment method interacts with the e-guma voucher system.

Conditions
- Business account at PostFinance
You can simply attach the QR-IBAN to your existing business account at PostFinance. It is possible to have several QR-IBAN per postal account. If you do not have a business account at PostFinance, you can open one with this > online form. - QR-IBAN
For credits from voucher sales by invoice, you need a separate QR-IBAN for the vouchers. Find out here, how to apply for a QR-bill at PostFinance. The payments are consolidated and transferred daily from your QR-IBAN to your business account by PostFinance. - Printer
A laser printer is required to print the QR-bill.

Activation of the QR-bill in e-guma is free of charge.

Manual payment checking of paid voucher invoices is no longer required. The payment data of PostFinance are automatically read by e-guma. Paid vouchers are automatically activated in e-guma.
Automatic printing
The QR-bill are generated directly by e-guma, there is no longer any need for filling out manually. The necessary settings are already stored in e-guma.

Every day (Monday-Friday evening), e-guma collects the payment data from PostFinance's so-called FDS (File Delivery Service) server. This is PostFinance's special server for data exchange. All data is transferred in an encrypted form. e-guma does not have access to your PostFinance account at any time.

e-guma processes the payment data, thereby activating all voucher orders that have been paid on the current day in your e-guma voucher system. e-guma adjusts the status in the voucher management system for these orders and lists them in the sales report. Learn more.

Then e-guma sends the credit report for voucher payments via e-mail. You receive this e-mail as long as there have been voucher payments on your QR-IBAN. Find out here how you can configure the e-mail address to which the reports are sent.

In the event of an error during processing of the payment data, you will see this in the e-mail with the text, "Error! Credit reports at PostFinance". You will also be notified of the error in the e-mail text. Learn more about error notifications.

e-guma saves the credit report and it can be downloaded at any time. Accounting -> QR-bill -> Reports.
Process voucher orders in e-guma
In the following support articles, we explain the process step by step. The processing of orders with QR-bill depends upon when the vouchers are sent to the customer. You can select from two different processes:
- Process order - QR-bill - Joint dispatch of invoice and voucher
- Process order - QR-bill - Voucher dispatch after invoice payment (Advance payment)
This setting can be changed at any time. Contact us if you wish to make a change.
Credit report
Contents and layout of credit report
PostFinance transfers the total of invoice payments (generally 1 day after the payment entry) from your QR-IBAN to your business acoount. The e-guma credit report serves as a receipt and method of checking the statement from your PostFinance business account.
In the upper part of the report, you can see when the payment data was read and how many payments (number and amount in Francs) have been entered.
The credit report lists each individual paid voucher order with value date, paid amount and voucher order number. You can see from the corresponding notification whether the vouchers have been successfully activated or whether an error has occurred.
Download credit report
The credit report is stored in e-guma. In the menu Accounting -> QR-bill -> Reports of your e-guma voucher system, you can see all reports. Click on the Download report button to export the credit report as PDF file.
Error notifications
Reports with incorrect processing are marked with an exclamation mark icon in the report overview mentioned above.
In the event of an error occurring during processing of the payment data, this will be visible upon opening the credit report. The affected voucher order is marked in red and displays a corresponding notification. Learn more about error notifications.
