Create voucher batches and send them to customers by email

With the Create multiple vouchers and send by email tool, you can create up to 1,000 vouchers at once and send them directly to the respective customers by email. A separate voucher and order are created for each customer.
Typical use cases include:
  • Voucher promotions for multiple customers
  • Marketing campaigns
  • Employee or customer gifts

Requirements

To use this tool, Order management must be enabled in your e-guma account, and your user account must have the Sell vouchers permission.

This tool currently needs to be activated by e-guma Support. Please contact us so we can enable it in your e-guma account.

Create a campaign

Once the tool has been enabled, you will find Create multiple vouchers and send by email under Extras. An overview lists all campaigns that have been carried out.

A campaign currently cannot be saved as a draft and resumed later.

To create a new campaign, click New campaign. Then define the settings for the vouchers to be sent.

Name

This is the internal name of the campaign and is not visible to customers.

Voucher type

Select the voucher type for the campaign. Currently, only value vouchers and digital gift cards are available.

Language

Select the desired language for the orders from the languages enabled in your e-guma account.
Campaign emails currently do not support multiple languages. Separate campaigns must be created for different languages.

Payment method

Select the payment method to be used for all orders. All payment methods available in the e-guma Backoffice can be selected, except invoice.
The Maison payment method is not available for digital gift cards.

Data

Upload your data using an Excel template. Please use our template: Download Excel template (German)

Each row generates one voucher and one order. A maximum of 1,000 rows is supported. The following information can be defined individually for each voucher:

Salutation Must be "Mr", "Mrs" or left blank. If left blank, a neutral salutation is used.
First name Optional
Last name Optional
Email Recipient's email address (required)
Amount Voucher amount (required)
Voucher for Optional text field transferred to the "Voucher for" field.

Email template for customers

Compose the email message for your customers. You can customise both the subject and the message. Use placeholders to insert personalised content into the subject or message. The placeholder for the download link must be included in the message.

Sending

Once all settings have been defined, you can send the campaign.

Test your campaign

First, send a test voucher to your own email address. You can then delete the test order.

Before sending, the data is automatically validated.

The following checks are performed:
  • Whether the message contains a valid download link
  • Whether valid salutations have been used
  • Whether all email addresses are valid
  • Whether the amounts are numeric (0 or greater)
  • Whether the Excel file contains no more than 1,000 rows
  • Whether the number of columns is correct
If errors are detected, sending is blocked and a corresponding error message is displayed.
If the data is valid, the vouchers and orders are created and the emails are sent to the customers.

Campaign analysis

From the overview page, you can access the analysis of individual campaigns. You can also archive campaigns so that they no longer appear in the overview.

The details page shows the selected settings as well as the generated order and email delivery status for each recipient.

Orders

An order is automatically created for each voucher. The order history indicates that the order was created through a campaign and sent by email.
